UPDATE TO MEMBERS - (Full minutes attached)
Outcome of the Extraordinary General Meeting held on 19 December 2012
The members voted unanimously in favour of continuing as Mansfield Harriers & Athletics Club and seeking alternative facilities from which to train and be based.
Danny Mee (James’ dad) addressed the meeting and asked for permission to approach the trustees (he works in the same offices as the trustees) about getting the Club back on Berry Hill Park. Members agreed for Danny to speak with the trustees.
Following his discussion with the trustees, Danny has advised that the Club may be allowed to return to the Park during January 2013. The trustees are unwilling to enter into a written agreement and any use of the facilities by the Club will be on a short term basis. The trustees will not deal with anyone from the Club; everything will be through Danny.
To date, Danny has not informed the Club when it will be allowed to return to the Park.
The committee is continuing its search of suitable alternative facilities and hopes to be able to provide an update to the members at the AGM.

! As you will all now be aware, the Trustees have stopped us from parking around the track, meaning that everyone now has to park in the unlit top car park. I met with RJS last week to discuss this and other issues. He has agreed to trial for one month allowing the key holders to park down at the track, as long as they remain on the hard standing with their cars. He has also allowed us to let any of our disabled members to park down at the facilities, this is to be decided upon by the Club.
The current key holders are:
Paul Gair / Ted Grey / Pat Carlan / Richard Massey / Barry Holmes.
As you can see all the key holders except for Barry are active coaches, so this means they will be unable to monitor the barrier once their training has started. We were looking at Barry stopping at the barrier for the first half hour or so, on a training night to allow access to relevant members, but due to unforeseen circumstances he won’t be at training for a while. So what Im looking for is someone that is willing to have a key for the barrier and control access for the start of training. If there is anyone willing to do this can they let me know so that I can sort out a key for them.
You will all also be pleased to know that the public toilets appear to be up and working again.

There may be some of you who look at the last 12 months as a bit of annablis horriblis for the club, but me, I look back and think, how well we have done. Again our athletes have done the club proud with many County and National medals and National and International representations. We have had a number of our coaches and volunteers winning achievement awards through various presentation ceremonies. We have increased our number of active coaches and even increased our membership numbers. All with very little facilities.
We have been unfortunate to get relegated in some of our leagues, but again I feel this is an opportunity for the club to rebuild itself and come out fighting and prove to everyone that WE ARE THE BEST CLUB IN NOTTINGHAMSHIRE, sorry fell off the soapbox.
Since becoming Chairman in November, Ive visited the National x-country event we staged and was very proud to see what a wonderfully organised and run event was taking place in some horrible weather, someone said to me that day “this is what x-country is all aboutâ€. Now I see why I am a throws coach….I have also been to watch the sportshall event a couple of weeks ago and again it was great to watch some of our up and coming athletes performing for the club and it was especially good to see so many parents there supporting their kids. Next xmas sportshall I want to see more parents doing the egg and spoon race... and only this week I watched many of our members packing bags to raise money for the club and not one of them moaned to me, well apart from the trolley that was packed with a bill that came to over £200 and then never put anything in the collection box.
So I say to everyone, I am proud to say I’m a member of Mansfield Harriers & Athletics Club.
I feel that over the next 12 months there will be some smiles and some tears, some joy and some sadness, there will probably be some tough choices to make, but I strongly believe that if we face it together as a club united that we can deal with it all with our heads held high.
There will be some further notices coming out soon, but as an advanced warning, some dates for your diaries:
January 31st Club AGM Berry Hill school approximately 7pm onwards
I would like you all to consider that our club is run solely by volunteers, I have already been informed that some members of the committee will be standing down at the next AGM. Do you feel that you would like to be more involved with the club, maybe you have your own skills or ideas that you could bring to the club, do you fancy having a go at coaching or officiating, being a team manager or a volunteer, even driving mini buses to the various competitions. If you do, or even if you aren’t sure what you want to do but you know you want to help somehow, then please get in touch and I’ll answer any questions I can, or I’ll at least put you in touch with someone who will know the answers.
Right thats enough ranting and raving.
I would like to wish you all a very merry Christmas and hope you all achieve your targets are for 2012.
You may be aware that Up&Running Nottingham very generously sponsor the Junior Academy with T-shirt Prizes each month. In return please take a look at their great 3 of 2 offers and check out the great deal on page 7 buy a shoe voucher: get a shoe bag worth £7 and a training diary worth £5 absolutely free! - guess what my daughter has just had for her birthday!

Are you easyfundraising yet?
It’s the easiest way to help raise money for Mansfield Harriers Athletics Club! If you already shop online with retailers such as Amazon, M&S, Argos, John Lewis, Comet, Vodafone, eBay, Boden and Play.com, then we need you to sign up for free to raise money while you shop!
So how does it work?
You shop directly with the retailer as you would normally, but if you sign up to www.easyfundraising.org.uk/causes/mhac for free and use the links on the easyfundraising site to take you to the retailer, then a percentage of whatever you spend comes directly to Mansfield Harriers at no extra cost to yourself.
More details attached, but I raised £1.30 yesterday buying a £30 pair of shoes! So what other reason do I need to shop! - Becky

To all Members... EGM/Open Meeting
You may recall that we had planned an EGM for Sept 6th, however the main purpose of this meeting was to sanction an increase in the Membership Fees if required, the Committee havingmet yesterday and reflected on the clubs finances have decided that no increase in the fees is necessary for this year, thus the need for an EGM is no longer required. However, we areintending to hold a Open Meeting (for Club Members only) on Tuesday 13th Sept after training venue and date to confirmed - sorry the preferred venue don't work during the school holidays!
European Endurance Conference 8-9 Oct 2011 – details attached
Coaches who wish to attend conferences on other subjects/ disciplines can ask for support from the club on the same basis (ie using funds made available from NAN). The criteria must be coach education.

To All Members
Matters seem to be coming to a head in our on-going dispute with the Park Trustees. At the AGM Club members agreed to accept the new arrangements as an independent club on the basis of the promises RJS made about a User Agreement. The Club still awaits any form of Agreement and hence withholds some payments for hire of track.
The Trustees are demanding payment of £2,177.50 for the months of March, February and May and have given the club a deadline date of 1st August 2011 to comply. Without a User Agreement in some form the Club are with holding payment until authorised by members at an EGM. The Trust have been notified. The provisional date for the EGM is Tuesday 6th September at a venue to be arranged.
I am highly uncertain as to the action the Trust will now take. The worst scenario is that they will lock us out from the Park again.
Please feel free to get in touch with me at any time to discuss this further.

Chairman’s Letter June 2011
“ MHAC are still negotiating hard to finalise an Agreement with the Trustees of the Park. This has proved to be a rather fruitless period since the AGM. Put simply MHAC requests a User Agreement to be tabled before we pay for the hire of track , the Trustees seem to think it should be the other way round! It really is more complicated than this.
We have an EGM due on Wednesday 29th June, at a venue to be confirmed, to discuss progress and make decisions about the future. We hope to have made real progress by then so the full agenda must wait to see what transpires. Please log the date in your diaries.
Best Wishes , Ted

First Aiders - can you help...
You may be aware, one of the conditions set by Park Trustees for the club return to the track was the provision of a qualified First Aider at each club session. At present they have requested that this person's sole responsibility for the session is the First Aid. The committee are aware that is is over staffing and are negotiating on this point. However in the meantime we need qualified First Aiders, Nurses or Doctors to staff the office.
1) Occasional sessions - you let us know what you can do.
2) For a future list to be kept with the First Aid Kits. (just to call upon if required)
Dr Liz Norris has already kindly sorted the kits and staffed the office last week.
If you can help in any of the ways stated above please email Steve Davies

A message from the club committee:
The club urgently needs the assistance of anyone who works in the insurance industry to advise the club on renewal of insurance policies.
The club has been quoted over £1400. Can we get this cheaper? Do we really need all of the cover in the existing policy. Are we not duplicating some elements of insurance policies already provided by UK Athletics and Trustees of the Park?
Do you know anyone who can help by looking over our renewal policy and offering advice????

Athletes Information on the nottsaaa's website
Midland League Division 1
Mansfield Harriers men's team made an encouraging start in defence of their Midland League division 1 title at Nuneaton on Saturday 5th may. With the British Universities championships on the same weekend, and a number of injuries to contend with, the team went into the match without nine key athletes. However, they showed their strength in depth by claiming a magnificent second place on the day. This was in no small part down to Mansfield's Man of The Match Stefan Wilcockson, who competed in seven events on a scorching day. He also provided the club with its only A string win in the 400m hurdles in a personal best time of 58.1sec for good measure. Daniel Barkes made it a double success in the hurdles in winning the B string race whilst picking up valuable points in the High Jump, 110m hurdles and 5000m.
Paul Wright produced his usual gutsy run in the 4x400m relay, making up a considerable deficit to bring the team home to victory and round off a very successful start to the season.
400m Hdls: 1A Stefan Wilcockson 58.1, 1B Daniel Barkes 62.9; 800m: 6A Aiden Reid 1:59.7, 3B Stuart king 1:58.8; 200m: 6A Paul Wright 23.3, 4B Martin White 23.7; 2000m s/c: 2A James Mee 6:24.3, 2B Daniel heathcote 6:39.2; 110m Hdls: 2A Stefan Wilcockson 16.5, 2B Daniel Barkes 21.8; 400m: 3A Paul Wright 50.9, 6B Martin White 54.9; 1500m: 6A Andy harris 4:11.9, 8B James Mee 4:56.6; 100m: 7A Stefan Wilcockson 11.8, 8B Chris Ashmore 12.5; 5000m: 7A Douglas Ross 16:35.4, 7B Daniel Barkes 20:06.1; 4x100m 4th 45.8; 4x400m 1st 3:28.8; Hammer: 3A Paul Gair 36.85, 3B Steve Woolley 22.95; Pole Vault: 3A Greg Murrow 3.15; Long jump: 7A Stefan Wilcockson 5.44, 5B Martin White 5.04; High jump: 3A Ross Kirk 1.80, 2B Daniel Barkes 1.60; Javelin: 5A Matthew Woolley 41.17, 5B Steve Woolley 32.55; Shot putt: 2A Matthew Woolley 12.25, 2B Paul Gair 9.55; Triple Jump: 4A Stefan Wilcockson 11.74, 6B Chris Ashmore 9.92; Discus: 4A Matthew Woolley 35.20, 3B Paul Gair 26.19
