Rules of the Grand Prix

The Grand Prix (GP) is designed to promote friendly competition within the club, also to encourage participation in local events, particularly those run by other running clubs and charitable organisations.

The Grand Prix year runs from 1st October each year and the first one will start in October 2016.

A list of designated GP races will be published on the club website. (GP events are clearly marked, 31 in total)

This will include mostly local races, but also some from further afield that attract a good number of our runners. There will be a range of distances and terrains and will include evening and Saturday races as well as those run on Sundays.

Points and scores

If a Club runner runs in a designated GP race, then they are entered in the GP Championship. Points are awarded after the publication of each set of results: First runner home for Club: 20 points, reducing to 19, 18 etc. for successive runners. If more than 20 runners compete in each gender category, then the appropriate highest number will be awarded.

Points are calculated separately for men and women.

For 2016/17 season a runner must run a minimum of Eight GP races to qualify for an award. We will review this for 2017/18.

The best Eight race results are selected and points added to determine the final score. If two or more runners have the same points score, then the best eight races for those runners are taken and so on until a winner emerges or one of the runners has no more races to compare. Only the same numbers of races are compared, so if one runner completes nine or more races, it’s still the best eight for comparative purposes between the runners unless the other runner(s) also complete(s) nine races. In the event of there still being a draw after all possible additional races have been compared then a judgement will be made by comparing only those races where both/all runners competed together.

All runners must enter the race under Mansfield Harriers & A.C

All runners must run under their OWN names. If a runner takes another runner’s name/number their position will NOT be counted.

Championships and trophies

There are two main competitions, each with a separate results table:

  1. Grand Prix Championship

The top 3 men and woman with the highest total scores (8 best scores) in the overall table will be awarded the GP Championship trophy.

Additionally, there will be a NOVICE category. These awards will be won by the man and woman with the highest points score who has never won a GP prize (including age category and pot-hunter) before. This is designed particularly to encourage new members to participate.

The man and woman who have earned the most Grand Prix Championship points in the season without winning their Age Category will be awarded the POT HUNTER TROPHY.

  1. Age Category Championship

All runners entered in the Grand Prix Championship will be entered into the appropriate Age Category Championship.

A runner’s age category is decided on their age on the day 1st October 2016. A runner in a particular category will only compete for points against a runner in the same category. The same rule applies in each Age Category.

Trophies will be awarded to the winner of each Age Category. If no-one in an age category completes the required minimum of 8 races for 2016/17 then that trophy will not be awarded.

All members are encouraged to attend. A draft agenda is set out below.

Nominations are invited for the election of Chair, Secretary and Treasurer. Nominations must be submitted in writing to the secretary, by Wednesday 24th January 2018.

Proposals for resolutions to be consideration at the meeting must be received by the secretary at least 14 days prior to the date of the meeting. Any proposal must be properly proposed in writing and made by a paid up member of the club and correctly seconded. (nomination and proposal forms available to download below)

A final agenda will be posted on the club notice board and website on Thursday 25th January 2018. This will include details of any proposals received.

All members that attend the meeting will get a free drink from the bar.

Following the formal AGM business meeting there will be an open discussion / forum.

This will be followed by a Quiz Night social event.

Note to attendees.

All paid up members of the club are invited and encouraged to attend the meeting.

Only business on the agenda circulated prior to the meeting will be will be considered. There will be no provision for any other business to be raised or discussed at the formal part of the AGM on the night.

Only paid up members aged 14+ on the day of the meeting will be allowed to vote at the meeting.

There will be no provision available for the use of proxy voting.

Non members will be allowed to attend the meeting at the discretion of the chair as guests. Guests will only be allowed to contribute to the meeting at the invitation of the chair and will not be allowed to vote.

Everyone attending the meeting will have their eligibility to vote checked against the membership records on entering the building. Those eligible to vote will be issued with a voting card.

London Marathon Club Ballot Draw


As an England Athletics associated club, Mansfield Harriers & A.C is allocated a number of London Marathon entries. It is the responsibility of the committee to ensure that every member of the club who wishes to enter this ballot has a fair and equal opportunity to do so. It is also the responsibility of the committee to deliver this in a transparent and accountable manner. The rules are as follows:

  1. The ballot is only open to first claim members.
  2. Any member entering the club ballot must have been an affiliated and fully paid member of Mansfield Harriers & A.C (the “Club”) for at least 12 months prior to the date of the draw.
  3. Ballot entrants should be active members of the Club, specifically in the 12 months prior to the draw, they must have competed in at least one Club race.
  4. Original letters from London Marathon must be produced as proof that the member was unsuccessful in the public ballot, if e-mail confirmation was received a copy of the email must be provided.
  5. Members cannot enter the ballot if they were successful in receiving a place in the previous year’s club ballot, priority will be given to anyone who hasn't been successful in the past.
  6. Any committee member wishing to enter the ballot must follow the same process as any other club member.

Any athlete who wishes to enter the ballot but does not meet these criteria will not be included in the draw.

If any of the places are not claimed from the above criteria a second ballot will be held for members who didn’t enter the London Marathon ballot and don't have a rejection slip, they must meet all other criteria.

The number of ballot spaces the Club receives is dependent on how many paid members the Club has at the time the organisers issue them. Members will be informed of spaces available (usually one or two) soon after this number is known.

Traditionally the ballot draw takes place late November / Early December.
